Privacy Policy

This policy explains what information Edova collects and how it is used. If your school or teacher created your account, they determine how your information is used, and Edova processes it on their behalf.
1. Information We Collect
We collect your name and email address, as well as your WhatsApp number if you provide one. We also collect your schoolwork, including submissions, uploaded files, answers, grades and feedback, along with sign-in and device information: your IP address, an ID for each browser you use, and your screen size, time zone and language. If you write to us through the contact form, we also keep your organisation, how you describe yourself (school, teacher and so on), the number of students and your message. If you or your school buys a plan, we keep its billing details, orders, invoices and payments.
2. How We Use Your Information
We use your information to provide educational services, support assessment grading and generate academic reports. AI may suggest grades, but a teacher or authorised reviewer checks each grade before publication.
3. Data Storage & Security
Each school’s workspace has its own database. The passwords Edova uses to access these databases are encrypted using AES-256, and your password is stored only as a one-way hash, so no one at Edova or your school can read it. Your browser connects to Edova over HTTPS.
4. Your rights
- Right to Access: Request a copy of your data by contacting us
- Right to Erasure: Request account deletion via Profile → Delete Account
- Right to Portability: A copy is provided in a machine-readable format on request
- Right to Rectification: Update your profile information at any time
5. Data Retention
- Account data: Until deletion requested
- Grades and submissions: kept for as long as your school’s workspace exists, so past grading decisions can be reviewed. Your school decides how they are used, and we keep them on its behalf.
- Service logs: 30 days
- Audit logs: 1 year
- Session data: 24 hours
6. Third-Party Services
To generate suggested grades for teacher review, Edova shares students’ answers and uploaded work (and, where enabled, scans of handwritten work) with AI service providers we select. A teacher, or someone they authorise, reviews every mark before it is published. We use these providers’ paid business services, on terms and settings that do not let them train their models on what we send. They may keep it for a limited time to check for misuse, or longer where the law requires. Other services that process personal data for us are our hosting and storage provider, the network provider that carries traffic to and from Edova, email and WhatsApp delivery services, a video streaming service and, for card payments, a payment provider.
7. Cookies
We use only the cookies the site needs to work: one that keeps you signed in, a few that remember a step in progress (such as a sign-in code), and one that remembers the language you chose for this website. We do not use advertising or analytics cookies.
